21 days after confirmation an initial deposit of one night's lodging per unit is due.
Without a signed agreement and this deposit, availability cannot be guaranteed.
The Ice House Lodge does allow for a 15% reduction in the original number of rooms
up to 45 days prior to arrival without penalty, as long as the group remains above
10 rooms paid. If the group numbers drop below 10 rooms, group rates no longer
apply.
90 days prior to arrival a second deposit of 33% of the total balance
is due. Cancellations after this date may result in the forfeiture of this deposit.
60 days prior to arrival a third deposit of 33% of the total balance is
due. Cancellations after this date may result in the forfeiture of this deposit.
45 days prior to arrival the remaining balance is due, representing payment in
full. This includes a sales tax of 11.4% (includes a 1% resort tax) and a gratuities/luggage
fee of $6 per person. Rooms cancelled after receipt of this final payment may
forfeit the entire payment to date. Tax is figured on the total net lodging rate.
Travel Agent commissions will be prededucted from the rates.
The Ice House
Lodge reserves the right to be the sole determinant of the amount of any cancellation
or damage refunds. Refunds will be based on the extent of the Ice House Lodge's
loss, and the actual amount of the cancelled space resold.
Should the
above deposit schedule not be received by The Ice House Lodge, The Ice House Lodge
reserves the right to automatically release such space for resale, given written
notice of such release to the agent and charge any applicable cancellation fees.
The Ice House Lodge will rebook on a space available basis only after required
payment has been received.
Cancellation notice must be made directly with
The Ice House Lodge at the group sales department. Cancellations made by telephone
must be followed by a written or faxed notice.
The Ice House Lodge will
provide bed configuration information for reserved rooms for the preparation of
the rooming list, which is due 30 days prior to arrival. However, this in now
way guarantees specific units.
A limited number of rollaways and cribs
are available at no extra cost.
Rates are based on double occupancy. Additional
person charges are $25 plus tax per adult per night, with a maximum additional
occupancy of 2 people per unit. Maximum occupancy denotes the use of a sofa sleeper,
which is NOT recommended for 2 adults. Comfort is NOT guaranteed. It is the booking
agent's responsibility to convey this to the trip leader.
Checkout time
is 10:00 a.m. A limited number of late checkout rooms will be provided based on
availability. During periods of high occupancy, late checkouts will not be available
in order to allow housekeeping enough time to prepare rooms for same day check-ins.
There is an additional night's fee for all checkouts after 1:00 p.m.
Provisions
for the bus driver's lodging, if necessary, must be made and paid in full 45 days
prior to arrival.
The Ice House Lodge will provide the group with the
following complimentary lodging: One complimentary pillow for every 10 rooms (or
bedrooms in condominiums) paid.
NO SNOW POLICY: If the Telluride Ski Area
is open, The Ice House Lodge will not be responsible for refunding any room revenue
or deposits. If the Telluride Ski Area is not open at all, The Ice House Lodge
will issue a full refund less one night's lodging plus tax per cancelled room.
Cancellations due to lack of snow must be made within 48 hours of arrival.
